Check out, return, and close a rental

Use the rental progress record from reservation through return.

Checkout

Verify the signed agreement and successful hold, scan or select every item going out, document condition, and mark the rental as out. Send the customer the return details.

Return

  1. Open the rental and scan each item back in.
  2. Compare its condition with checkout records and note damage or missing equipment.
  3. Confirm the actual return time.
  4. Review any late-return fee or other charge before applying it under the signed terms.
  5. Resolve the security hold: release it when items return clean, or follow the agreement for an authorized charge.
  6. Mark the rental returned only after equipment, charges, and hold status are reconciled.

For an overdue rental, contact the customer and record the update. Avoid creating a replacement reservation to hide an unresolved return.
